Privacy policy

This privacy policy describes how AI Registry (operated from Australia) collects, uses, and shares personal information. It is written to align with the Australian Privacy Principles (APPs) under the Privacy Act 1988.

1. What we collect

We collect information in three ways:

  • Submission forms. When you submit a company or claim a listing, we collect your name, email, the company details you provide, and any authorisation confirmations.
  • Newsletter subscriptions. If we offer a newsletter, we collect your email address only.
  • Site analytics. We collect aggregated, non-identifying analytics about pages visited, referring source, and approximate region. We do not collect IP addresses tied to identity.

2. How we use it

  • To process and review submissions.
  • To contact you about your submission or listing.
  • To improve the site based on what content people find useful.
  • To send newsletter content if you've opted in.

We do not sell your information. We do not share it with third parties except as listed below.

3. Third parties

We use the following services that may process your data:

  • Form processor (Formspree, US-hosted) for submission forms. Submissions transit through their service and are stored briefly before reaching the editor's inbox.
  • Analytics provider (TBD: Plausible/Umami/GA4) for traffic statistics.
  • Email service (Resend, US-hosted) for transactional emails such as submission confirmations.
  • Hosting. The site itself is hosted in Australia on a VPS. Static pages are cached on Cloudflare's global network.

4. Cookies

The site uses minimal cookies. If we use a privacy-respecting analytics tool (Plausible or Umami), no cookies are set. If we use Google Analytics, cookies are set for traffic measurement and you can opt out via the cookie banner.

5. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Ask what personal information we hold about you.
  • Ask us to correct it.
  • Ask us to delete it (subject to legal retention requirements).
  • Lodge a complaint with the Office of the Australian Information Commissioner (oaic.gov.au).

6. Data retention

Submission data is retained while the listing is active and for two years after removal. Newsletter data is retained until you unsubscribe. Analytics data is aggregated and retained indefinitely.

7. Security

We use HTTPS site-wide. Submission data is transmitted over encrypted connections. Editor access to the master listing database is protected by two-factor authentication. We do not store payment information.

8. Children

This site is not directed at people under 16 and we do not knowingly collect data from them.

9. Changes

We may update this policy. Material changes will be flagged on the homepage for at least 14 days.
